TERMS AND CONDITIONS

A BETTER EXPERIENCE

We’re delighted to have you as part of the Midlands Voice Academy community. To ensure the best possible experience for all our students and families, we kindly ask that you read the following Terms and Conditions carefully. These terms outline our policies around lessons, payments, cancellations, and general conduct, and are designed to help maintain a safe, respectful, viable, and professional learning environment.

By submitting the New Student Enrolment form, you confirm your understanding and acceptance of the terms set out below. If you have any questions, please don’t hesitate to contact us - we’re here to help.

TERMS & CONDITIONS

By agreeing to the following Terms and Conditions, the completed New Student Enrolment Form shall serve as a legally binding contract between Midlands Voice Academy Theatre Arts Ltd (hereinafter referred to as “the Provider”) and the student, or the parent/guardian if the student is under 18 years of age (hereinafter referred to as “the Client”), as named on the Enrolment Form. This agreement takes effect from the date of submission of the New Student Enrolment Form. ​ Services Provided The Client engages the Provider to deliver tuition in Singing, Music, Acting and/or Performing Arts. The Provider agrees to deliver these services in accordance with the terms set out in this agreement.

Fees and Payment Terms
Lesson fees must be paid by the 1st of each month, covering tuition for the upcoming calendar month. Invoices are issued 7 days prior to the due date.
All payments must be made via bank transfer or My Music Staff invoice link (please note: Stripe/PayPal convenience fees are applied by the payment provider). Bank details are included on each invoice. Direct bank transfers incur no additional charges. Clients must use the student’s full name as the payment reference.
Late payments after the 7th of each month may incur a £5 administration fee.
Tuition fees cover scheduled lessons on a weekly or fortnightly basis, as agreed upon enrolment.
Private coaching, rehearsals, showcase participation fees, examinations, mock examinations, costumes, workshops, and other additional services may incur separate charges and must be paid within the timeframe stated on the invoice.
Tuition fees secure a dedicated recurring lesson slot, teacher allocation, studio space, and associated administrative resources. Once a lesson slot has been agreed and scheduled, Midlands Voice Academy Ltd incurs staffing, venue, and operational costs regardless of attendance.
Refunds are not provided for missed lessons, late cancellations, voluntary withdrawal, non-attendance, or unused lessons except where expressly stated within these Terms and Conditions.
Unused permitted non-chargeable absences cannot be carried forward into future academic years.

Absence & Cancellation Policy (1:1 Lessons)
Each student is permitted two non-chargeable absences per academic year (1st September – 31st August), whether attending weekly or fortnightly lessons. These absences must be notified via email with a minimum of 24 hours’ notice and may include illness, school trips, family holidays, or performance commitments.
Midlands Voice Academy Ltd operates for 50 weeks of the year with a two week Christmas closure. Lessons operate as normal on bank holidays unless otherwise stated.
All scheduled lessons remain chargeable regardless of attendance, except where covered by the two permitted non-chargeable absences outlined above and notified in accordance with this policy.
Cancellations made with less than 24 hours’ notice will be charged in full and are not eligible as one of the two permitted non-chargeable absences.
Where a student does not attend a scheduled lesson without prior notice, the lesson will be treated as a chargeable absence in full.
Midlands Voice Academy Ltd reserves the student’s recurring lesson slot each week/fortnight and therefore staffing, venue, and operational costs remain payable regardless of attendance.
If the Provider cancels a lesson due to teacher illness, professional commitments, emergency circumstances, or holiday, at least 24 hours’ notice will be provided where reasonably possible. A replacement lesson, rescheduled session, or approved cover teacher may be offered at the Provider’s discretion.
Where advance notice of absence is provided, the Provider will endeavour to offer a rescheduled lesson subject to teacher and studio availability. However, rescheduling is not guaranteed. Lessons may remain chargeable where suitable rescheduling options are unavailable within two weeks either side of the original lesson date.
Rescheduled lessons must be arranged at the time the absence is reported. Lessons cannot be banked, credited, or carried forward indefinitely for future use.

Termination of Lessons
A minimum of one calendar month’s written notice via email to hello@midlandsvoiceacademy.com is required to terminate 1:1 lessons.
Lessons remain fully chargeable throughout the notice period regardless of attendance. Non-attendance during the notice period does not remove the Client’s liability for payment.
Where insufficient notice is provided, one final month’s fees will remain payable in lieu of notice.
Midlands Voice Academy Ltd reserves the right to terminate lessons, suspend services, or refuse future bookings where accounts remain unpaid or where there has been repeated breach of these Terms and Conditions. 

Outstanding Payments & Debt Recovery
The Client remains liable for all outstanding balances relating to booked lessons, notice periods, examinations, showcases, rehearsals, costumes, or additional services provided by Midlands Voice Academy Ltd, regardless of attendance, withdrawal, or discontinuation of lessons.
Midlands Voice Academy Ltd reserves the right to suspend lessons, withhold examination entries, certificates, reports, showcase participation, performance opportunities, or future bookings where accounts remain unpaid.
Where payment remains outstanding after reasonable attempts to recover the balance, Midlands Voice Academy Ltd reserves the right to pursue formal debt recovery procedures, including referral to a debt recovery agency and/or commencement of County Court proceedings where necessary.
The Client shall remain responsible for any applicable court fees, recovery costs, and associated charges recoverable by law.

Deposit & Lesson Pricing
Upon completion of the enrolment form, a £19 deposit is required in order to:

  • secure a place on the waiting list and/or lesson register;

  • begin the lesson allocation and timetable process; and

  • reserve administrative and teaching resources in preparation for lessons commencing.

Following enrolment, Midlands Voice Academy Ltd will provide confirmation of lesson availability and applicable lesson fees. Lesson prices may vary depending on:

  • teacher experience, qualifications, and specialism;

  • student age and ability level;

  • lesson duration and format; and

  • the type of tuition being provided.

The £19 deposit will be credited against the student’s first invoice once lessons commence.
If the Client chooses not to proceed with lessons, the deposit shall only be refundable where written cancellation is received at least 24 hours prior to the scheduled first lesson.
Where cancellation is received within 24 hours of the scheduled first lesson, or where the student fails to attend the scheduled lesson, the deposit becomes non-refundable. This is because Midlands Voice Academy Ltd will already have allocated teaching staff, reserved studio space, incurred administrative costs, and committed teaching time which cannot reasonably be reallocated at short notice.
Acceptance of a lesson slot offered by Midlands Voice Academy Ltd constitutes acceptance of the applicable lesson fees, timetable allocation, and these Terms and Conditions.

Attendance & Punctuality
Clients must provide at least 24 hours’ notice of cancellation by email to hello@midlandsvoiceacademy.com Students arriving more than 10 minutes late may forfeit their session at the Provider’s discretion, with no refund. Lessons will not be extended to make up for lost time due to lateness. Full fees apply regardless of late arrival. ​

Communication All communication must be made via hello@midlandsvoiceacademy.com - teachers do not manage their calendars and cannot reschedule lessons, or "pass on messages" to admin. ​

Health, Safety & Safeguarding All MVA teachers are fully DBS checked and operate in line with the Provider’s Safeguarding, Health & Safety, and Risk Assessment policies. The Provider holds comprehensive insurance, and a qualified first aider is always on site. Students must behave in a safe, respectful, and responsible manner during all sessions. The Provider reserves the right to suspend or terminate lessons without refund in cases of persistent disruptive behaviour, lack of respect, or failure to follow instructions, in order to maintain a safe and positive learning environment for all. The Provider is not liable for loss or damage to any personal belongings. Parents must inform the teacher at the start of the lesson if their child is being collected by someone other than the usual parent or guardian. For safeguarding reasons, all students under the age of 16 must be collected by a parent or authorised adult, unless prior permission has been given for an older child to leave unaccompanied. ​ Students Aged 16 and Under Parents/guardians must supply all required information for performance licensing, where applicable. Accurate and up-to-date emergency contact information must be provided at all times. ​

Photography and Videography Photos and video footage taken during lessons, rehearsals, or events may be used by the Provider for marketing and promotional purposes across print and digital platforms. Written consent will be obtained from parents/guardians of students under 16 for each performance event. Consent for media usage is granted via the New Student Enrolment Form. ​​ Data Protection and Privacy The Provider processes personal data in accordance with the GDPR and the MVA Privacy Policy, available here. Clients should review this policy to understand how their data is collected, stored, and used. ​

CCTV For the safety and safeguarding of our students and staff, CCTV operates within the studio.
